The CCLCM Faculty Affairs Office administers the faculty appointment and promotion process. CCLCM faculty members are non-tenured and must meet the same standards applied to all other Case Western Reserve University faculty. We have taken steps to streamline and demystify the application process. An application guidelines document is provided to introduce you to the types of appointments, guidelines on achievements necessary for attaining different ranks of appointment, and an outline of the materials necessary for a complete application. Applicants are expected to prepare and submit their complete application, including chairman's nomination letter, CV in CCLCM format, and list of referee names, to the Faculty Affairs Office. Qualified referee letters are of paramount importance. Applicants should carefully select referees according to the requirements outlined in the guidelines, which can be downloaded from this website. The Faculty Affairs Office will solicit and secure all referee letters and forward the complete application to the CCLCM Committee on Appointments and Promotions (CAP).
For appointment or promotion to associate professor of full professor, teaching evaluations are also very important. Applications for appointment or promotion to associate professor or full professor include MedHub teaching scores and evaluation comments for consideration by the CCLCM and CWRU review committees. Teaching scores below the departmental average and/or negative evaluation comments may jeopardize appointment or promotion to these levels.
At time of application, candidates must declare an area of excellence on which their national reputation would be based: Clinical service (including clinical research), Education (submission of a teaching portfolio is required) or (Laboratory) Research. Academic rank will be largely determined by the scope (local, regional or national) of the applicant’s established reputation in their area of excellence.
Process:
Complete applications for appointments and promotions are reviewed by the CCLCM Committee on Appointments and Promotions (CAP). Approved applications are then forwarded to the CWRU School of Medicine Committee on Appointments, Promotions and Tenure (CAPT). If appointment or promotion is recommended, the application goes to the Dean of the Medical School, Provost, and CWRU Board of Trustees. Upon final appointment or promotion approval, the candidate will be notified in writing by both CWRU and the CCLCM Faculty Affairs Office.
Application Status:
The status of CCLCM Faculty Affairs applications submitted since January 2011 can be tracked online on the CCLCM portal. Appointments:
Faculty applications are encouraged from all Cleveland Clinic staff, especially those in leadership positions and with frequent or significant contact with CCLCM students. All staff members based at Cleveland Clinic Main Campus are eligible for appointment to the regular faculty. Those based on other campuses or remotely may be eligible for appointment to the regular faculty or, more commonly, to the clinical faculty depending on the extent of their contributions to the CCLCM. Adjunct appointments are available to remotely located basic science staff members.
Checklists for each appointment level and detailed policies governing the Faculty Affairs Office and the appointment process can also be downloaded. It is important to document all candidate teaching activities in the application materials as CWRU weighs this factor heavily in determining faculty appointment levels. Candidates with the primary area of excellence as "Teaching," must submit a teaching portfolio. Effective September 1, 2010, candidates’ curriculum vitae must be submitted with their faculty application in the CCLCM CV format, [CCLCM CV FORMAT.DOC]. In the personal narrative statement, candidates should also describe in further detail their teaching, research, clinical and administrative activities.
Applicants should be aware that the appointment review process takes several months. Complete files are reviewed by the CCLCM Committee on Academic Promotion. At the rank of Associate Professor and Professor (regular faculty), the CCLCM CAP forwards its recommendations to the CWRU Committee on Appointments, Promotions, and Tenure (CAPT), who also reviews the candidates. Recommended appointments are sent for further approval to the Dean of the Case School of Medicine, the CWRU Provost, the CWRU President, and the CWRU Board of Trustees. All other ranks bypass the CWRU CAPT but are reviewed by the other listed Case offices. Once the Board of Trustees has confirmed the appointment, newly-appointed faculty will be notified by letter from both Dr. Barnett and CWRU.
Promotions:
The process of promotion to Associate Professor and Professor (regular track) differs somewhat from the above appointment process and is outlined in the promotion guidelines. Promotions are reviewed only once a year. Promotion applications, as outlined in the checklists provided on the website, must be submitted to the Faculty Affairs Office by the end of January.
In general, applications for promotion to Associate Professor or full Professor should not be less than 4 years from the applicant's last CCLCM appointment or promotion.
The department chair provides the nomination letter, addressed to Gene H. Barnett, M.D., Associate Dean for Faculty Affairs, indicating the level of the proposed promotion and discussing the basis for the promotion, including teaching, research, professional service contributions, landmark discoveries or innovations, and the candidate’s relationship to the department’s academic strategy. Qualified referee letters are of paramount importance. Referee names should be carefully selected according to the guidelines provided on this website. The nominating chair must select half of the EXTERNAL referee names. These names may be discussed with the candidate. The candidate provides the balance of the external referee names, plus all colleague and student referee names. Refer to guidelines for important specifics.
Complete promotion applications are first reviewed by the CCLCM Committee on Appointments and Promotions. Approved promotion files are then forwarded to CWRU for their review process. It is strongly recommended that faculty not seek promotion until at least two years after their last appointment or promotion. Promotion candidates should be aware that the CWRU promotion review process takes one year to complete. Meaning, promotion applications submitted by the end of January will be finalized in the summer of the following year. During this time, updates, if available, regarding the candidate’s promotion review status will be provided to the nominating chairman. The chairman may share the updates with the candidate.
Appeals:
The CCLCM Office of Faculty Affairs has established an appeals policy granting an appointment or promotion candidate the opportunity to appeal a negative decision by the CCLCM Committee on Appointments and Promotions. The Appeals Policy (pdf) provides complete details.
